The festival is produced by the Port Fairy Folk Festival Committee which is a not-for-profit organisation.

There is a 12 member committee and a small part-time staff. The festival director, Jamie McKew, is assisted by Program Administrator, Sandy Brady. The main office is administrator is Robyn Bartlett.

The committee meets all year round. As the festival approaches a team of over 400 is assembled to run the festival. In addition members of at least 24 organisations join assist and provide invaluable services including catering, cleaning, first-aid, transport, Green Room, instrument lock-up and transport, crowd control, access, gates, SES and more bringing total volunteers and workers up to 1800.

The Friends of the Festival are a large team of volunteers who work on venues, doors, as stage managers and emcees, cleaners, on bars and many other tasks.

In the final two weeks leading into the festival, a mighty construction and electrics crew  assembles to build the huge Hockers and a myriaad of small marquees and tents, install stages, lighting & power supply, communications, toilets, water, drainage
